Project Coordinator

General Purpose of the Position:

This position coordinates the technical aspects of projects or initiatives, including creating project plans, timelines and deliverables. Identifies and tracks project issues/risks and identifies actions to resolve issues and mitigate risks. Able to report on project and financial status for all active projects. Liaison with the internal/external sales teams and sub-contractors working on active projects.

Essential Duties and Responsibilities:

  • Act as the point of contact and communicate project status adequately to all internal teams.
  • Helps prepare professional and complete quotes by utilizing standard templates and pricing worksheets and adhering to company pricing guidelines.
  • Ensure that clients’ needs are met as the project evolves.
  • Monitor and track project’s progress and handle any issues that arise.
  • Create and maintain comprehensive project documentation, plans, timeline (Gantt Charts) and reports.
  • Use project management tools to monitor working hours, budget, plans and money spent.
  • Responds to customer inquiries, requests, and complaints with urgency, and ensure resolution in a timely manner.
  • Keep all administrative documents accurate and current, including project files, expenses, drawings and proposals.
  • Always demonstrate attention to detail, accuracy, and organization in the execution of job duties.
  • Assist accounting with expenses and billable hours reporting by project, to effectively invoice customers.
  • Issue purchase order requests for needed system components to help engineers and add sub-contractors, as required.
  • Works with appropriate departments and their staffs to coordinate the activities of all active projects, affecting them.
  • Continuously monitors progress of job, including tasks and investigates any deviations from schedule.
  • Keeps all appropriate personnel apprised of status of projects, shifts in priorities, existing or perceived problems; deviations from schedule.
  • Prepares and facilitates conference calls when needed, on large projects and/or when multiple locations must be involved.
  • Identify, suggest and implement corrective actions to improve quality of coordination process for all project, as a means for process improvements within the department.
  • Helps prepare and trigger invoices by providing data and requirements for accounting.
  • Providing training, work direction, and problem-solving assistance to other personnel.
  • Tracking and monitoring project budgets and expenses.

Education and Experience Required:

  • Associates degree (AS/AA) from two-year college or university in Industrial Engineering Technology; or two to four years related experience and/or training; or equivalent combination of education and experience. Project management general training and/or associate degree in Project Management.
  • Fundamental understanding of Microsoft Project (MSP), Gantt charts, basic time reporting and engineering documentation.
  • Technical writing competence.
  • Proficiency with Microsoft Office computer software and Windows operating systems, and general business productivity tools.
